Il dipartimento Risorse Umane è responsabile delle buste paga di circa 4500 dipendenti. Ogni dipendente ha bisogno di accedere alle informazioni riguardanti il proprio foglio paga circa due volte al mese. Nel passato, la ricerca dei relativi documenti richiedeva molto tempo. Per agevolare il processo di comunicazione, il dipartimento HR ha voluto essere in grado di inviare copie delle buste paga ai dipendenti direttamente per mezzo della posta elettronica. Si è avuto bisogno di introdurre un sistema di gestione che operasse con l’attuale applicazione esistente delle buste paga. La soluzione dovrebbe ridurre il fabbisogno di spazio ed il consumo di carta, così come il tempo di consegna ed i costi relativi. I documenti devono essere condivisibili con altri colleghi e tutte le prescrizioni legali per la gestione documentaria, come per esempio un periodo d’archiviazione di 10 anni, dovranno essere rispettate.
